Job Summary
: The role executes and manages case files from inception to conclusion, which includes settlement or transition to litigation. Provides outstanding client service in an environment of excellence, operating with the highest ethical standards and integrity.

Typically supervises Client Specialists, managing and measuring daily work. Partners with In-Suit team to transition cases efficiently, ensuring a seamless experience for clients, progressing the case timely and efficiently. Job Responsibilities: Gather relevant information from potential clients, ensuring a smooth transition to attorneys for further discussions; schedule client intake appointments as needed Maintain communication with client via phone and email, keeping client informed of case status, necessary documentation and other relevant case information Initiate all initial document requests including medical records and bills, PIP log, health insurance liens, auto policy, insurance disclosures, collateral sources, and other required information; educate and maintain client contact on importance of completed information and follow up diligently to obtain all documents Work independently to manage and progress case load efficiently and within timing guidelines, always focusing on quality and service delivery Communicate with medical providers and insurance adjusters as necessary, requesting and submitting required documentation in a timely manner Review medical records to ensure clients are actively following all recommended medical treatment with consistency and without delay; notify attorney when treatment lags or stops Draft correspondence including negotiations, notice of intent letters, pre-suit pleadings and petitions; create and send correspondence of notice of intent to sue for MedMal cases Engage external services as needed including nurse experts, private investigators; receive summary reports and review with attorney for appropriate next steps Receive notification letter responses and share with attorney to determine next steps Maintain monthly communication to request and obtain updated medical records, bills and liens Request and collect updated bills and health insurance claims (post-settlement) for determining settlement distributions; document all information into CLIO system Receive settlement offers and review with attorney, executing documentation and follow-up as needed throughout negotiation process; execute counter offers as directed by attorney Analyze, identify and dispute unrelated charges Ensure all documentation related to insurance and adjuster is accurately input into CLIO Partner with client to document and forward activity sheet when ready for demand Identify billing issues and address with appropriate parties to resolve timely Prepare and send demand packages Assist attorney with post-demand negotiations and settlement offers, executing responses to opposing counsel as necessary Negotiate reductions of medical balances and health insurance liens Update all client information in CLIO Manage system at each step of process, ensuring digital files are up-to-date and accurate for review Partner with Pre-Suit team to transition cases for litigation; ensure files are complete with relevant information and documents as needed to transition case Other duties as assigned Qualifications: Bachelor's degree or paralegal certification preferred, not required 3-5 years paralegal or case manager experience or similar role required; minimum of 2 years personal injury experience is strongly preferred Ability to work independently managing, organizing and prioritizing tasks for assigned cases to facilitate expedient decisions and resolutions Proficiency in computer-based technologies including MSOffice (Word, Excel), Zoom video, telecommunications, database, and document management; experience with CLIO preferred Demonstrated ability to handle conflict and hold challenging conversations in a productive manner Ability to work collaboratively within an internal team as well as outside parties including clients, opposing counsel, experts, medical providers, adjusters, etc.
